Meeting design

At Common Ground Common Sense (CGCS), we recognise the importance of well-designed meetings. Meetingdesign is an approach aimed at creating effective, creative and meaningful meetings for conferences and dialogue. With this service, we aim to help organisations plan and facilitate meetings that are not only informative, but also inspire and spur action.

What is meeting design?

Meeting design is the art and skill of carefully and creatively planning and designing meetings. It includes developing a clear structure, choosing the right methods and techniques, and creating an environment that fosters open communication and collaboration. A well-designed meeting takes into account participants' needs and expectations, but also surprises and ensures that every moment is valuable. Even the moments when nothing happens for a while. Retreat and reflect when space is needed to give all the insights a place.

Here's how to design a meaningful dialogue

  • Clear Objectives: It starts with setting clear goals for the meeting so that all activities and conversations are aimed at achieving them. Amazement can also be an objective.
  • Interactive formats: Effective meeting design uses various formats and working methods, such as workshops, panels and open space dialogue, to promote participant engagement. Those who do it should know it!
  • Emotional Engagement: Creating a creative and inspiring environment encourages participants to share candidly and share personal experiences, leading to more connection and actionable insights. A day without a paradigm shift is a day not lived!
  • Follow-up and Action: A good meeting design also provides for follow-up after the meeting, to ensure that the ideas and insights gained during the meeting are actually turned into actions. And sometimes the decision to do nothing at all!

Advantages of meeting design

  1. Increased engagement: By integrating interactive elements and various working formats, participants are actively involved and motivated to contribute.
  2. Thorough discussions: An effective meeting design leads to thorough discussions, which can help gaining new insights and improving the co-operation.
  3. Clear results: With clear objectives and a structured approach, meetings can focus on achieving visible results.
  4. Optimal use of time: Well thought-out agendas and formats ensure that participants' time is used efficiently and effectively. Better once right than ten times half.
